By using this site to access or book training and professional development services offered by South Gloucestershire Council, and our schools trading brand Integra, you are agreeing to all terms and conditions listed below.
Data management
- The information and personal data you provide will be stored electronically and used by South Gloucestershire Council where appropriate for administration, provision of services, statistical and equalities monitoring purposes in compliance with the UK General Data Protection Regulation (UK GDPR) the Data Protection Act 2018 and our Public Sector Equality Duty in the Equality Act 2010.

If you book training on someone else's behalf it is your responsibility to inform them of the privacy statement and these terms and conditions as we will store their data on this website.
- When bookings are made by a CPD lead the delegate is unable to consent to their information being stored, therefore we will take a delegate’s attendance on a course/event, as agreement for consent to their information to be processed by us and training records created and shared.
- We may share delegates training records with their employing organisation to confirm attendance, this will not include personal data.
Registering on the website:
- To book places on our courses and events, you will be required to register your details on the South Gloucestershire Council training website www.southglos.gov.uk/learning.
- We expect that all information you give will always be accurate, correct and current. It is your responsibility to keep information up to date.
- You are solely responsible for maintaining the confidentiality of passwords associated with your account and all activities you carry out using your account.
- CPD leads (nominated authorising colleagues) for organisations will also have responsibility for any actions they take registering and booking on delegates behalf.
Booking events and training courses
- It is your responsibility to use the course details to check that the course is relevant to you. The council will not be liable for any refund in the case where delegates do not meet course pre-requisites or does not choose the correct event. If you are unsure if the course is right for you, please contact the team at training@southglos.gov.uk (or speak to your Line Manager).
- It is essential to pre-book a place on an event using the online booking system. We reserve the right to refuse entrance to anyone who arrives for a course that has not pre-booked and received confirmation of a place.
- Bookings can be made online either by an individual, a line manager or CPD lead.
- Places are allocated on a first-come first-served basis. The council reserves the right to limit places in certain cases e.g. where specific numbers of places are available per school/setting/organisation, or a mix of agencies are required for a multi-agency event.
Payments and refunds
- All our courses are marked with prices. Our courses are VAT exempt. We will charge for attendance and last minute cancellations by invoice following the event.
- It is your responsibility to ensure that you and/or the delegate(s) attend any course that is booked, late cancellations or non-attendance will be monitored, and we reserve the right to charge no-show fees of the full course price.
- Safeguarding Adults Board (SAB) and Children's Partnership (CP) members who contribute financially to the safeguarding partnerships will receive safeguarding courses free of charge, however non-attendance or late cancellations will be charged, and we reserve the right to charge no-show fees of the full course price.
Your right to cancel or transfer
- It is the delegate’s responsibility to cancel bookings online at the earliest opportunity using the online booking system or via training@southglos.gov.uk at least seven days before the course start date.
- In the event that a delegate is unable to cancel their place, a manager or CPD lead can email training@southglos.gov.ukand we will cancel it for you within seven days.
- You may transfer a booking if you give us at least seven days notice before a course begins. The transfer could be to a different course, the same course at a different time, or substitute a member of your organisation, if the delegate is eligible to attend the course.
- If a cancellation notification is received less than seven days before the course your school/setting/organisation will be liable for full costs of the training place.
- If a substituted delegate (attending in place of another delegate) is registered on the event but fails to attend, you will still be charged.
Attending events and training courses
- It is the delegates responsibility to arrive on time. We advise that delegates arrive for in-person training 10 minutes before it is due to start.
- Trainers/facilitators reserve the right to ask participants who are more than 20 minutes late, to leave and rebook if their late entrance will disrupt the training event, or they have missed essential content.
- Missing over 20% of the event, or 30 minutes may be considered non-attendance, and would result in the certificate being withheld until the delegate has completed the requirements of the course. This is at our discretion based on the individual requirements of the course/event.
- At every face-to-face event, there will be a register for you to sign to confirm your attendance. If this is not signed during the session your attendance status will be set to 'not attended' and you will not be eligible to receive a certificate on completion of the event or a refund.
- At online events the trainer will take the register from your name and organisation details which you will be asked to record in the chat.
- You will be expected to participate fully, treat others with respect and display positive learning attitudes towards other delegates and the trainer/facilitator.
- You will be expected to complete an evaluation for events you attend. This may be in the form of a feedback sheet or online form at the end of the event. It may also include an evaluation of the impact that the activity has had on you or your service up to six months after the event.
- Once you have completed the requirements of the course you will be able to download your certificate.
- Refreshments are not typically provided at courses and events. Please check the joining instructions for this information.
Multi-part events
- Delegates who sign up for multi-part events are expected to attend all sessions. If sessions are missed, the full cost will still apply.
- If a delegate misses sessions or fails to complete coursework on multi-part events it may result in the certificate being withheld until all aspects of the course are satisfactorily completed. The remaining requirements will be clearly identified by the course trainer in these instances.
Quality assurance
- We use feedback to improve our service. Please use evaluation forms or email us to let us know your views.
- We may observe part or all of a training session to give feedback to the trainer/facilitator for quality assurance reasons.
- If you are dissatisfied with any aspect of your learning experience, raise your concerns immediately with the event trainer for them to resolve the issue during the event. If this is not possible or appropriate, please email training@southglos.gov.uk with details of your issue and we will pass this on to the appropriate person to follow up.
- Alternatively, if we are unable to resolve the matter informally, you can make a formal complaint.
Inclusion and equality
- We do our best to make sure everyone has an equal chance to use and benefit from our service.
- The person booking is responsible for informing us of any training requirements and/or reasonable adjustments required so we can deliver an accessible service to the delegate. There may be some circumstances where we are unable to fully meet the needs identified and when that is the case a member of the team will contact the delegate to discuss their options to make the training as accessible as possible to them
- Training and dietary requirements can be updated at the time of booking, or any time in a delegates profile. This information is passed to the trainer.
- We analyse evaluation information and equalities data to meet our duties under the Equality Act 2010 and may contact delegates for further information based on their feedback in order for us to improve our services.

Liability
- We will not be liable to you for any claims, liabilities, losses, damages, costs, expenses, fines and/or penalties unless they are caused directly by our negligence and/or breach of these Terms.
Event cancellation and amendment
- We reserve the right to cancel, reschedule, sub-contract or change the location of the course at any time should this be necessary. In these circumstances, you will be notified by email as soon as possible of the changes. We will not be liable for any expenses incurred by you as a result. No event will be cancelled except where it is impossible to run, for example:
- The event format relies on a minimum number of participants and that number is not reached
- A last-minute illness of the course trainer/facilitator
- Poor weather that would make travel hazardous
- The course is reliant on national guidance which is delayed.
- We reserve the right to amend the content, format or delivery of any course to improve its quality. Reasons for this may include changes to qualifications made by appropriate certifying bodies, legislative updates, policy and best practice changes, and ongoing improvements.
Code of Conduct
- You and delegates you book on your organisation’s behalf shall comply with all reasonable instructions or directions given by us in respect of the courses, materials, and our premises and property.
- You and delegates you book on your organisation’s behalf agree to abide by all applicable laws, regulations, and codes of conduct and will ensure that your use of the materials does not infringe upon the rights of others.
- All content made available to you and delegates through accessing our learning and development services, belongs to us or our licensors (and may be subject to separate terms). Any access to, retrieval and/or display of such content is solely for your personal and non-commercial use and is not to be shared with anyone else without our permission.
- We or our licensors own the copyright and all other intellectual property rights associated with such content, save where otherwise stated. Some products, company names and logos mentioned or displayed in the materials, website or our other content may be the trademarks, service marks or trading names of third parties.
- You and delegates you book on your organisation’s behalf shall not do anything which adversely affects our rights and interests, including but not limited to:
- copying, reproducing, modifying, redistributing or in any way commercially exploiting the courses, materials, website or other content (other than as allowed under these Terms).
- damaging, interfering with or disrupting access to our website or electronic services or doing anything which may interrupt or impair their functionality; making available, uploading, or distributing by any means any material or files that contain any viruses, bugs, corrupt data or any other harmful software; falsifying the true ownership of the courses, materials, website and other content; obtaining or attempting to obtain unauthorised access, through whatever means, to the courses, website, our services, or setting up links from any website controlled by you to our website or our services or other content, without our express written permission.
Other important terms
- The courses and materials provided by us do not constitute and cannot be relied upon for legal advice. You should consult a solicitor for legal advice. Neither South Gloucestershire Council, nor our employees, trainers or consultants accept responsibility for your actions or losses, or those of third parties with access to the courses and/or materials, because of reliance on the courses and/or materials as legal advice.
- We reserve the right to suspend any web-related services without prior notice.
- We do not guarantee that the website is free of defects, viruses or other malware. It is your responsibility to use up to date anti-virus software and/or other appropriate measures to protect your security online.
- These Terms shall be subject to the laws of England and Wales and the parties submit to the exclusive jurisdiction of the courts of England and Wales.
- Each provision of these Terms is severable and distinct from the others. If a provision of these Terms is held to be or becomes illegal, invalid or unenforceable in any respect by a court or relevant authority of competent jurisdiction, it shall to that extent be deemed not to form part of these Terms but this shall not affect the legality, validity or enforceability of the remainder of these Terms which shall continue in full force and effect.
- If either party does not exercise any right or remedy under these Terms, this will not be taken to mean that such right or remedy has been waived.
- A person who is not a party to this contract shall have no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any of the Terms.
